SharePoint and Digital Workplace

A digital workplace where people find what they need.

We plan, design and build SharePoint Online intranets and collaboration spaces around how your organization really works, with the information architecture, governance and adoption support to keep them useful long after launch.

The challenge

Signs your digital workplace needs attention

A digital workplace rarely fails all at once. It drifts as teams grow, content accumulates and ownership becomes unclear.
  • People can't find what they need

Search returns outdated copies, navigation mirrors the org chart instead of tasks, and colleagues become the search engine.

  • The intranet is a noticeboard, not a tool

News gets published, but the intranet doesn't help anyone complete their work.

  • Permissions have drifted

Years of ad hoc sharing leave sensitive content exposed, and nobody is confident about who can see what.

  • A migration is looming

File shares, older SharePoint versions or another platform need to move, and you want to leave the clutter behind.

What we do

What we deliver

We combine user experience research with deep SharePoint knowledge, so structure and design reinforce each other.
  • Planning and information architecture

Structure that reflects how people look for information, not just how the organization is drawn.

    • Site topology and hub structure
    • Content types and metadata
    • Navigation and search design
  • Modern intranet design

Home and department experiences that combine communication with the tools people use every day.

    • Employee-centred page and news design
    • Accessible, on-brand layouts
    • Task-focused quick links and resources
  • Governance and lifecycle

Clear rules for how sites are created, owned, reviewed and retired.

    • Provisioning and ownership models
    • Permissions and sharing policies
    • Retention, archiving and sensitivity labels
  • Migration

Move what matters, retire what doesn't, and land content in a structure people recognize.

    • Content inventory and clean-up
    • Mapping to the new information architecture
    • Phased migration, validation and communications
  • Custom components and integrations

Extend SharePoint where standard web parts aren't enough.

    • SharePoint Framework (SPFx) web parts
    • Microsoft Graph and line-of-business integrations
    • Power Automate workflows
  • Adoption and optimization

Keep the digital workplace useful as needs change.

    • Site owner and author training
    • Champions networks
    • Usage reviews and continuous improvement

Outcomes

What good looks like

  • Faster answers

People find policies, templates and expertise without asking around.

  • Trusted content

Clear ownership and review cycles keep information current.

  • Safer sharing

Permissions match intent, so sensitive content stays where it belongs.

  • An intranet that evolves

A governance and improvement rhythm keeps the experience relevant.

Approach

Our approach

Good intranets are researched, not guessed. We validate structure with real users before building it.
  1. 1

    Listen

Stakeholder interviews, analytics and a content audit reveal how information is really used.

  2. 2

    Structure

Card sorting and tree testing shape an information architecture people can navigate.

  3. 3

    Build

We design and configure iteratively, with accessibility built in from the start.

  4. 4

    Launch and grow

Training, champions and measurement help the intranet improve after go-live.

Questions

Frequently asked questions

Can you improve our existing intranet rather than start over?

Often, yes. We start by understanding what works and what doesn't. Many intranets benefit more from clearer structure, better navigation and stronger governance than from a full rebuild.

How long does an intranet project take?

It depends on scope, content volume and how quickly decisions can be made. We favour a focused first release followed by regular improvements over a single, large launch.

Do you help with migrations from file shares?

Yes. We help you inventory and clean up content, map it to a new structure and migrate in phases, with communication and support for the people affected.

Will our intranet be accessible?

We design to WCAG 2.2 Level AA and test key templates with keyboard and screen reader checks. We also help authors understand how to keep their content accessible.
